Exhibitor Registration Fees

Early-Bird Exhibitor Registration (EXTENDED - before midnight PST on Saturday, March 7, 2015):

Note: Exhibitor Registration badges grant access to events at IHS LA; however, Exhibitor Registration DOES NOT include Hollywood Bowl event tickets (Tues, 8/4 or Thurs, 8/6), Banquet Meals, or IHS LA T-shirts. These items may be purchased separately: www.colburnschool.edu/ihsla2015addons.

  • Exhibits hours are from 9 am to 3 pm 
  • Teardown takes place after the exhibits close

Exhibitor Rules & Regulations

All tables are 6 ft. Each exhibitor is allotted one additional badge for each two tables purchased. A maximum of four total badges is permitted for each company, regardless of how many tables are purchased. Additional personnel must register as participants for the symposium. All sales are final. 

All exhibitors must purchase tables to sell or display items at the Symposium. Fees will not be reduced for exhibitors who provide his/her own table(s), does not need table space, or do not participate for the duration of the symposium. Exhibitors bringing their own tables for additional display space will be charged $110 for each table brought to the exhibit.

Each business must register individually to be represented at the horn symposium. If your business is selling items for another company that will have representatives of its own at the symposium, you are required to register each company as an exhibitor. Failure to do so will mean that the non-registered company will not receive recognition online, in the program book, or during the symposium as being a participating exhibitor.Exhibitors may also purchase “Informational Displays.” Exhibitors can have information about their company and products prominently displayed and replenished throughout the symposium by sending materials (brochures, flyers, samples) to the address given below, before July 1, 2015. Items displayed will be arranged by the exhibits coordinator. An additional fee will be assessed for those companies wishing to have any left-over items returned. Informational Display space does not include a badge for exhibitors, or entrance into the symposium.

Assignment of Display Space
All exhibit spaces will be located within The Colburn School. The International Horn Symposium Host and Exhibits Coordinator will determine table locations. Exhibit locations are determined in the order that contracts are received. 

All table coverings and display items are to be provided by the exhibitor. Information regarding Internet access and electrical outlet access is available from the IHS Symposium Exhibitors Coordinator after registration closes.

Note: Olive Acre is an open, public area on Level 2 of the Colburn School. There is a reduced fee for these tables since the tables will need to be moved and secured for the evening. The tables will be monitored during the lunch hour. All exhibitors in the Acre must fall under silent events. Note: Cell phone coverage (depending on carrier) in the Olive Acre may be spotty, but Internet is available.

All private rooms include five tables. As per California fire code, no additional tables can be purchased for private rooms. Because the Colburn School is a Music Conservatory, each private room will contain a piano of some kind (grand, baby grand, or upright). The piano will be covered and moved against the wall. Please do not place any items on top of the piano, move the piano, or unplug the piano from the humidifier. Private room payment includes registration for one company only. If you wish to include another exhibitor in your room, the additional exhibitor must register and pay for all necessary badges for their company. Note: Cell phone coverage (depending on carrier) in the Olive Classrooms may be spotty, but Internet is available. 

Internet
The Colburn School is equipped with internet in all areas of the school. The system is wireless. All  IHS symposium exhibitors will be given access to the wireless internet.

Special Event for Exhibitors
A Special Event for Exhibitors will be held one evening. More information to come. 

Cell Phone Reception
There are certain floors of The Colburn School where cell phone service is very limited. If you are an exhibitor/vendor on floors below Olive level 3 of The Colburn School, note there will be no cell service. However, you will have full internet capability.

Teardown
Exhibitors may dismantle after 3 pm on Friday, August 7. No items are to be left behind. Exhibitors are responsible for the shipping and mailing of any items. All rooms must be completely clear by 8 pm on Friday, August 7th. (For more information see the section entitled “MAIL.”)

Exhibitors must dispose of trash, left-over packing materials, or unwanted items. Please leave your space as you found it. Failure to do so will result in cleaning charges billed by the exhibits coordinator.

Mail
Exhibitors may mail packages to the Colburn School one week prior to the event. All packages will be housed on level 1 of the Colburn School in the Mailroom. The Colburn School does NOT accept mail on Saturdays, Sunday, and holidays, so please plan accordingly. However, the mailroom will be open for package pick-up on the Friday, Saturday, and Sunday prior to the start of the convention. Carts will be available for use.

Room Access
The Symposium Exhibits Coordinator will be in charge of locking and unlocking the exhibit halls at the beginning and end of each day as well as during the lunch breaks. The Colburn School Security staff is there to assist the Symposium Exhibits Coordinator if needed. For the safety of all exhibitors at the symposium: Rooms will only be opened at the assigned times. If an exhibitor has reserved a private room, he/she will be given an access to key to that room and only that room. It is the responsibility of that exhibitor to ensure that his/her room is locked. The Colburn School, the International Horn Society, IHS Exhibitors Coordinator, and the International Horn Symposium hosts are not responsible for lost, stolen, or damaged goods.

Advertising
The Symposium Exhibits Coordinator will be handling all advertising for the exhibits at the annual Symposium. The Exhibits Coordinator will work with the Production Staff at The Colburn School to ensure that there is plenty of signage so that participants may find all Exhibits.

Storage and Care of Building and Equipment 
No items shall be posted, tacked, nailed, screwed, taped, or otherwise attached to any part of the walls, floor, or any other part of the building or furniture. This, or any other act, which interferes with the proper protection of these properties, shall be at the expense of the exhibitor. A comprehensive exhibit directory will be readily available and all rooms are found within the one block of the Colburn School, therefore, no signs may be posted anywhere in the building directing participants to specific exhibitors. Any such signs will be removed immediately by the Symposium Exhibits Coordinator.

Note: Exhibitors may not use chemicals, power tools or open flame inside The Colburn School.

Liability and Insurance
The Colburn School, the International Horn Society, IHS Exhibitors Coordinator, and the International Horn Symposium hosts, or any staff members will not be responsible for the safety of the property of the exhibitor from theft, damage by fire, accident, or other causes, but will use reasonable care to protect the exhibitors from such loss and will secure the building during those periods when the exhibit areas are not open to the public. No responsibility is assumed for goods delivered to the exhibit area prior to the conference or materials in the exhibit area after the close of the exhibits. Exhibitors must provide their own insurance.

Travel, Directions, Housing, and Meals
The Colburn School nor the International Horn Symposium provides travel, housing, and/or meals for exhibitors. 

California Law: State Board of Equalization - Temporary Seller's Permit  
It is up to each exhibitor to following any guidelines outlined by the State of California in regards to temporary sellers' permits: www.boe.ca.gov/info/temporary_sellers.htm

Regulations and Contract
This general information and regulations for exhibitors has become a part of the contract between the exhibitor and the International Horn Symposium. These rules have been formulated for the best interest of the exhibitor. We respectfully request full cooperation of the exhibitor in their observance. All points not covered herein are subject to the decision of the Horn Symposium Host and the International Horn Society.

 1. Registration and payment for exhibits and advertising may only be done online through IHS LA 2015. 

 2. After payment and registration are received, confirmation will be sent by the exhibits coordinator. All times and locations are subject to change. Any changes will be sent via email to exhibitors as needed.

 3. The deadline to be included in the program book is May 31, 2015 (deadline extended from May 15th).
